What personal data do we collect about you?

The personal data we collect about you depends on the advice or service we are being asked to provide.  Commonly collected personal data includes:

  • Your name 
  • Your contact details
  • Your home contact details
  • Your fee earnings and expenses claimed
  • Your bank details
  • Other related or similar information to enable us to act for you
  • Details of a question, or information relating to an engagement with you
  • Personal data held in any documents that you send for review or edit

Purposes for Processing

The purpose for which we use personal data will depend on the how we got the data

Enquiries: If you have made an enquiry using our contact us form or via email, your data will only be used to answer your query.

Invoicing: A contact name, home address, email address and phone number will be used as part of our invoicing process. 

Providing Services: Some of our work will require us to collect data from you about other people such as staff, visitors or other people associated with your business. What we collect and how we use it will depend on the engagement, but it will never be used for any purpose outside of the engagement.  

Direct Marketing: We engage in direct marketing activities to send emails to prospective clients via their publicly available institution email address. When we do this, we will locate publicly available work email addresses via a university website. We do not send direct marketing material to personal email addresses. 

Lawful basis for processing

When we process your personal data, we must have a valid lawful basis. The lawful basis we rely on will depend on the purpose.

  • Personal data processed for the purpose of responding to Enquiries and carrying out Direct Marketing activities are processed on the basis of legitimate interest. 
  • Personal data processed for the purpose of provision of Services and Invoicing are processed on the basis of a written contract between us.  

Sharing your data

When you send personal data to us, we will store it on our secured devices, equipment and cloud-based platforms as required. Where we store it on cloud-based platforms such as file storage, this data is stored securely subject to stringent contractual requirements. We will not share your data with any third party routinely, and if we do need to share your data with a third party, we will tell you unless we have a legal obligation not to do so.

Your Information Rights

When we process your personal data, you have rights about how it is managed. Your information rights are:

  • A right of access to your personal data held by or on behalf of Riber Consultants Ltd.
  • A right to rectify any personal data held by Riber Consultants Ltd that you believe is incorrect.
  • A right to erase any personal data Riber Consultants Ltd no longer has a legitimate purpose to process.
  • A right of access to a machine-readable version of your data, as long as you have provided it or Riber Consultants Ltd has observed it via your use of a service. This is only applicable to data provided with your consent or under a contract, but we will endeavour to give you a portable version of any of your data should time and technology allow.
  • A right to stop Riber Consultants Ltd processing any of your data that it does not have a legal or contractual obligation to process.
  • A right to prevent any wholly automated decisions involving your data – we do not do this in any case.

Records Retention

Unless there is a law that says we have to keep data for a specific period of time, we will keep all data (personal or company data) provided by our clients for the purpose of an engagement for a period of 1 year after the conclusion of the engagement. 

We will keep a copy of all work provided by Riber Consultants Ltd to you as a client for a minimum of 6 years, after which time we will review to determine if it is still relevant. We will keep a copy of proposals, invoices and emails for a minimum period of 7 years.
